Door codes are programmed to activate at check-in and deactivate at check-out times, unless alternate arrangements have been made with the Front Office.

PAYMENTS: 

  • 50% of the total booking amount is due at the time of booking.  

  • All balances must be paid in full 14-days before your scheduled check-in day. 

  • The total balance of the reservation will be due at the time of booking if your scheduled arrival date is within 14-days of the booking date. 

  • If the reservation is booked through Airbnb, VRBO, Home Away, Booking.com, etc.100% of the total booking charges are due at the time of booking or follow that sites terms and conditions.


Cancellation Policy :

  • 30+ days before arrival: Full refund (100%)

  • 15–29 days before arrival: 50% refund of deposit

  • 14 days or less before arrival: No refund (100% non-refundable)Reservations canceled within 30-days of the scheduled arrival will not be refunded.  

Refunds will be processed to the original form of payment. Processing times may vary depending on the financial institution.

PTARMIGAN VILLAGE is unable to refund or prorate based on any issues or delays including but not limited to weather or health. We do recommend travel insurance which can be purchased for an additional fee! 


SMOKING/VAPING/PETS: 

  • Smoking and vaping are strictly prohibited inside the condo, including the garage, in all Ptarmigan Village–managed properties. Any evidence of smoking/vaping may result in immediate termination of the rental agreement (no refund) and a $300 minimum, possibly more.

  • Pets are not allowed. Any evidence of a pet may result in immediate termination of the rental agreement (no refund) and additional cleaning charges up to  (minimum $300, possibly more).

  • Guests are responsible for any additional costs required to return the unit to an allergy-free condition (including deep cleaning of carpets, rugs, drapes, bedding, and linens).


POOL CARD POLICY / REPLACEMENT FEES:

  • Pool cards are provided for guest use during the stay and must remain in the condo. All pool cards must be returned to the unit at check-out.

  • If any pool card is lost, damaged, or not returned to the condo, the Renter authorizes Ptarmigan Village to charge the credit card on file for all applicable replacement and administrative fees, including but not limited to:

  • Replacement cost per card

  • Administrative and processing fees

  • Any additional charges imposed by the facility or association

  • Failure to return pool cards may result in additional charges being applied after check-out.


DAMAGES / GUEST RESPONSIBILITY & AUTHORIZATION TO CHARGE:

  • No damage deposit is collected. However, the Guest is fully responsible for any loss, damage, or excessive cleaning required as a result of the actions or omissions of the Guest or anyone in the Guest’s party, beyond ordinary wear and tear.

  • The Guest agrees to promptly notify Ptarmigan Village of any damage, breakage, or maintenance issue that occurs during the stay.

  • To the fullest extent permitted by law, the Guest authorizes Ptarmigan Village to charge the credit card on file for the documented and itemized costs of repair, replacement, or additional cleaning necessary to restore the condo and its contents to their pre-arrival condition (excluding ordinary wear and tear). Such charges may include, without limitation:

  • Repair or replacement of damaged items

  • Labor and contractor service charges

  • Emergency service calls caused by misuse

  • Additional housekeeping or remediation

  • Missing items or furnishings

  • Charges may be assessed and processed within a reasonable time after checkout once the condition of the condo has been inspected and vendor invoices or estimates are obtained.

  • If the credit card on file is declined, the Guest agrees to provide an alternate form of payment immediately upon request. Failure to remit payment may result in additional collection efforts, and the Guest shall remain liable for all amounts due.

HOUSEKEEPING:

  • A housekeeping check-out fee is applied to all reservations. This fee covers the cleaning and preparation of the condo after guest departure.

  • To help you get started, we provide a starter supply of essential items, including:

  • Toilet paper

  • Paper towels

  • Dish soap

  • Garbage bags

  • Sponges/scrubbers

  • Dishwasher pods

  • A generous amount is provided based on the length of your stay; however, these items will not be replenished during your stay. If you anticipate needing additional supplies, please plan accordingly and purchase extras at a local store.

  • Additional housekeeping services may be available for an extra charge and must be arranged in advance.

  • Stays longer than 10 nights may require a mandatory mid-stay cleaning.


SUPPLIES AND FURNISHINGS:

  • All Ptarmigan Village–managed properties are fully furnished and include bedding, pillows, towels, and a fully equipped kitchen. Please note we do not provide food/cooking items such as spices, oil, foil, parchment paper, or storage bags. Please plan accordingly and bring any items you may need during your stay.

ADDITIONAL PERSONS:

  • Each property has a maximum occupancy. Exceeding the maximum occupancy of any Condo managed by PTARMIGAN VILLAGE is not allowed and will result in eviction of some or all of the party with no refund. 

NOISE AND EVENTS:

  • To ensure a peaceful environment for all guests and neighbors, quiet hours are strictly enforced from 10:00 PM to 8:00 AM. During quiet hours, guests must avoid loud music, excessive noise, or any disruptive behavior.

  • Large social events and gatherings are prohibited at all Ptarmigan Village rental properties, including but not limited to birthday parties, ceremonies, weddings, receptions, or similar functions, unless prior arrangements have been made and confirmed in writing through the Ptarmigan Village office.

  • Failure to comply with quiet hours or the events policy may result in immediate eviction and forfeiture of all rental payments (no refund).

INTERNET / STREAMING TV SERVICES

  • Properties managed by Ptarmigan Village provide internet service and/or streaming TV capabilities (including Smart TVs) as a convenience to guests. These services may be interrupted due to third-party provider issues, equipment problems, or mountain weather conditions.

  • While we make reasonable efforts to maintain these services, Ptarmigan Village cannot guarantee uninterrupted internet or streaming availability at all times.

  • If you experience an issue, please contact the Ptarmigan Village office during normal business hours for assistance. Internet/streaming service interruptions are not considered an emergency and will not be treated as an after-hours emergency.

  • No refunds or discounts will be issued for internet or streaming service outages.

RISK AND LIABILITY WAIVER 

  • The Renter acknowledges that use and occupancy of the rental property and its amenities involves inherent risks, including but not limited to personal injury, illness, death, and/or loss or damage to personal property. These risks may be increased due to the property’s high-altitude mountain location and the potential for severe and rapidly changing weather conditions.

  • Risks may include, but are not limited to, slippery or icy conditions, falling snow or ice, use of pools/hot tubs/bathtubs, exposure to pool or cleaning chemicals, allergic reactions, theft or property damage, and injury resulting from the use or misuse of electrical appliances or other equipment (including saunas and similar facilities).

  • The Renter, on behalf of themselves and all members of the rental group and guests, voluntarily assumes all such risks. To the fullest extent permitted by law, the Renter agrees to release and hold harmless Ptarmigan Village, the property owner, and property management from any claims or damages arising from injury, illness, death, or property loss during the stay, except where caused by gross negligence or willful misconduct.

GUEST AGREEMENT:

  • PTARMIGAN VILLAGE provides rental management services on behalf of the Condo owners who rent their properties to guests seeking accommodations on a short term basis. We are the Owner's authorized rentals agent and will perform services related to your reservation. By using the Condo and the services you agree to comply with and be legally bound to the terms and conditions of this agreement. 

INDEMNITY / RELEASE OF LIABILITY:

  • Neither the Owner nor Ptarmigan Village shall be liable for any loss, theft, damage, or injury to the Guest, the Guest’s invitees, or other occupants of the condo, including loss or damage to personal property.

  • The Guest, on behalf of themselves and their heirs, assigns, executors, and administrators, agrees to release, waive, and hold harmless the Owner and Ptarmigan Village from any and all claims, demands, or causes of action arising out of or related to the Guest’s occupancy or use of the condo.

  • In any action arising from this Agreement, the prevailing party shall be entitled to recover reasonable attorney fees and costs.

SALE CONTINGENCY / UNAVAILABILITY:

  • In the unlikely event the reserved condo is listed for sale, sold, or otherwise becomes unavailable for any reason, Ptarmigan Village reserves the right to substitute the reservation with a comparable condo at no additional cost to the guest.

CHARGES/FEES, I hereby authorize PTARMIGAN VILLAGE to charge my card on file for the following items:

  • Repair cost for damage beyond normal wear and tear. 

  • Repair or replacement cost of broken or missing items. 

  • Any requested incidental charges incurred by me or my party during our stay. 

  • Additional Fees will occur if the pool cards are not returned back to the condo they were assigned to

  • $300.00 minimum for evidence of smoking in the Condo. Steam cleaning of carpet and furniture should I or any of my guests or party bring pets into the property. I understand that no pets are allowed at the Condo being rented by me. 

  • A fee will be charged for unauthorized early check-ins or late check-outs.

  • If any expenses do arise, PTARMIGAN VILLAGE will contact you via email as to the amount of the charges and the reason any such costs were incurred.
